Case study: how Humboldt Financial automated its back office on Plannr

Humboldt Financial is a UK FCA-regulated advice firm that runs on the Plannr platform. Like many growing advice businesses, it was carrying a heavy manual load in the back office — staff turning everyday requests into Plannr tasks by hand, suitability documents built from scratch for every client, and no single view of what was stuck or overdue. MoiraCorp was brought in to fix that with automation, without ever putting the firm’s regulatory position at risk.

The challenge

Three things were quietly costing the firm time and creating risk. Requests were re-typed into Plannr as tasks all day, inconsistently and with client data moving around by hand. Every suitability document took the best part of an hour to produce. And when a case stalled, nobody could easily see where it was stuck or evidence how quickly the firm had acted — the kind of question the FCA asks under Consumer Duty.

What we built: one engine, three jobs

Rather than three disconnected tools, we built a single automation engine on top of the firm’s existing Plannr data and applied it to three workflows.

Automated task creation

Staff now raise a Plannr task simply by emailing a designated group. The system reads the request and builds a properly structured, categorised and assigned task — with personal data such as names, NI numbers and account numbers redacted before any AI sees the text. Anything ambiguous is routed to a review queue for a human.

Suitability report automation

The adviser selects the sections relevant to a client, and the client’s Plannr data populates the review document automatically — no re-keying. Built on the firm’s own master templates and product set, the tool cut the time to produce a client review document from around 55 minutes to 15, while the adviser keeps full ownership of the recommendation and the sign-off.

Task status and reporting

A live view of every task and project in Plannr now shows what is stuck, who needs to chase it, and how long each item has sat at a stage compared with the norm — turning a manual chase into a report the firm can act on and evidence.

Regulator-ready by design

The principle throughout was simple: automation does the repetitive work, AI is used only where genuine judgment is needed, personal data is redacted before it is ever processed, and every step is logged. That gives the firm a defensible audit trail across the back office — the record a regulator expects to see.

The results

  • Suitability documents produced in roughly a third of the time — around 55 minutes down to 15 — with the adviser still in control.
  • Task creation taken off the team’s plate: one email raises a fully structured, correctly assigned Plannr task.
  • A live, defensible view of what is stuck and who to chase, in place of a manual pull.
  • Personal data never exposed to AI, and every action auditable — one engine, reused across the back office.

Why it matters

For regulated advice firms, the fear with AI is that it breaks their compliance posture. This engagement shows the opposite is possible: the same engine can remove hours of manual work across an advice firm’s back office while making the operation more auditable, not less. Automation first, AI only where judgment is needed, and the client’s data protected at every step.
